We do not collect sensitive personal data as defined under UK GDPR, including health data, financial records beyond transaction processing, or data relating to protected characteristics.
3. Why We Process Your Data
We process your data on the following legal bases under UK GDPR:
- Contract performance — to deliver the service or digital product you have purchased
- Legitimate interest — to follow up on submitted diagnostic forms, send relevant operational content, and improve our services based on usage
- Consent — where you have explicitly opted in to email or SMS communications, such as by submitting a download form or booking a call
We will not process your data for purposes incompatible with those stated above without first informing you.
4. How We Use Your Data
Your data is used in the following ways:
- To deliver diagnostic results following completion of the AI Efficiency Form or any Series Media assessment tool
- To book and confirm calls via the Series Media booking calendar
- To process payments and deliver digital products purchased through our platforms
- To send automated follow-up communications via email and, where applicable, SMS through our CRM platform, GoHighLevel
- To build and manage nurture sequences relevant to the content or product you have engaged with
- To produce proposals and service recommendations based on your diagnostic results, where you have booked a strategy call
- To improve our tools, content, and services using aggregated, non-identifiable usage data
5. Third-Party Tools and Processors
To deliver our services, we use the following third-party platforms that may process your data on our behalf. Each is bound by their own privacy and data processing terms.
| Platform | Purpose | Data involved |
|---|---|---|
| GoHighLevel (GHL) | CRM, email and SMS automation, booking calendar, form capture | Name, email, phone, form responses |
| Stripe | Payment processing | Payment card data, name, email for receipts |
| n8n | Workflow automation connecting our tools | Name, email, form responses where automation is triggered |
| Anthropic (Claude API) | AI-powered diagnostic processing within our tools | Business information and form responses submitted to diagnostic tools |
We do not use third-party advertising networks or tracking pixels that share your data with external parties for advertising purposes.
6. Email and SMS Communications
By submitting any form on a Series Media platform, including the AI Efficiency Form, download landing pages, or booking calendar, you agree to receive follow-up communications by email relevant to the action you took.
Where you have provided a phone number, we may follow up by SMS as part of our automated sequences. SMS messages are short, infrequent, and relevant to the service or content you engaged with.
You can unsubscribe from email communications at any time using the unsubscribe link included in every email. To opt out of SMS communications, reply STOP to any message you receive from us.
Unsubscribing removes you from marketing and follow-up sequences. It does not affect transactional communications related to an active purchase or retainer agreement.
7. Data Retention
We retain your data for as long as necessary to deliver the services you have requested and to meet our legal obligations. The following principles apply:
- Form submissions and diagnostic responses are retained in GHL for as long as you remain an active or prospective contact
- Purchase records are retained for a minimum of six years in line with UK financial record-keeping requirements
- If you request deletion of your data, we will action this within 30 days, subject to any legal obligation to retain specific records
You may request deletion of your data at any time by contacting us at tania@seriesmedia.tech.
8. Your Rights Under UK GDPR
As a data subject under UK GDPR, you have the following rights:
- Right of access — you may request a copy of the personal data we hold about you
- Right to rectification — you may ask us to correct inaccurate data
- Right to erasure — you may request deletion of your data where there is no lawful basis for continued processing
- Right to restriction — you may ask us to limit how we process your data in certain circumstances
- Right to data portability — you may request a copy of your data in a structured, machine-readable format
- Right to object — you may object to processing carried out on the basis of legitimate interest
To exercise any of these rights, contact us at tania@seriesmedia.tech. We will respond within 30 days.
If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
9. Cookies and Website Tracking
Our websites may use functional cookies necessary for forms and booking tools to operate correctly. We do not currently use advertising cookies or third-party tracking cookies.
If this changes, this policy will be updated and a cookie consent mechanism will be implemented on the relevant domain before any tracking takes effect.
10. Data Security
We take reasonable technical and organisational measures to protect your data from unauthorised access, loss, or disclosure. These include restricted access to our CRM and automation tools, use of Stripe's PCI-compliant payment infrastructure, and data processing only through reputable third-party platforms.
